PartyEpic AI ("we", "us") provides cinematic party adventures to party venues ("Venues"), which host them for families. This policy explains what information we handle, why, and the choices you have. Questions: [email protected].
1. Who is responsible
Venues collect party bookings and photos from parents and use our platform to run the party. For that booking information we act as the Venue's service provider and process it only on the Venue's instructions. For website enquiries sent to us directly, we are responsible for the information.
2. Information we handle
- Party bookings (entered by Venue staff): the child's first name, age and party date; a parent's e-mail and phone; the chosen world; notes.
- Photos: an everyday photo of the birthday child, uploaded by the Venue with a parent's consent, and the hero portrait created from it.
- Custom World answers: the child's interests and any preferences a family shares for a Custom World.
- Staff accounts: names, e-mail, phone and sign-in records of Venue staff, plus an activity log of bookings and parties.
- Website enquiries: what you send through our contact form (name, e-mail, venue, city, optional phone, message) and basic technical data such as IP address.
3. How we use it
- To run the party: show the hero portrait, greet the child by name and print certificates.
- To let Venues manage bookings, reports and statements.
- To reply to enquiries and provide support.
- To keep the service secure and to prevent abuse.
We do not sell personal information, use children's photos for advertising, or use them to train AI models. AI processing of a photo happens only to create that party's hero portrait.
4. Children's privacy
Our service is used by Venues and parents, not directly by children. Children's information is provided by a parent or by the Venue with a parent's consent, as required by the Children's Online Privacy Protection Act (COPPA) where it applies. Parents can ask the Venue or us at any time to review or delete their child's information, and we will do so.
5. Who can see it
Photos and bookings are visible only to the signed-in staff of the Venue that created them, and to our administrators when needed for support. We use carefully selected providers for hosting, backups and e-mail, who may only process data on our behalf.
6. Retention
Venues control their bookings. Photos are kept to run and replay the party and can be deleted on request. Website enquiries are kept as long as needed to follow up. Records needed for billing are kept as required by law.
7. Security
All pages and media require a staff sign-in except this public website, connections are encrypted (HTTPS), passwords are stored hashed, and data is backed up with encryption.
8. Cookies
The public website does not use advertising or tracking cookies. Signed-in staff receive a single session cookie needed to stay signed in.
9. Your choices
You can ask for access, correction or deletion of your information by e-mailing [email protected]. California and other US state residents may have additional rights; we honor them.
